Privacy & Data Protection Policy

Introduction:

Welcome to community.gc.org.au. This is a data management system used, operated and maintained by Gateway Church Geelong (“Gateway”). It has been made available to Gateway Church to manage all personally identifiable information of people who attend Gateway Church and/or Gateway Church events and to enable more effective communication with you.

Registration:

If you register or apply for an account on community.gc.org.au and continue to use and provide personal information on this site, you are agreeing to the policy, with respect to collection, storage and use of that information by Gateway and/or Gateway Church. You also agree that your personal information, previously provided to a Gateway Church and/or Gateway, may also be transferred to community.gc.org.au.

The Policy:

Gateway and Gateway Church Geelong take your privacy very seriously and this Policy has been adopted as it recognises the right of people to keep their personal information private. If you disagree with any part of the policy, please do not continue to register.

If at a later date:
1. You do not wish to receive further communications from Gateway and/or Gateway Church; OR
2. You wish to change the way you receive any communication; you may notify Gateway or the Gateway Church you attend (or previously attended) and your request will be dealt with in accordance with the Policy. Your personal information will be kept strictly confidential. Gateway and Gateway Church will adhere to the Principles of Data Protection Specifically, the Principles require that personal information: Shall be processed fairly and lawfully and, in particular, shall not be processed unless specific conditions are met, Shall be obtained only for one or more of the purposes specified in the Act, and shall not be processed in any manner incompatible with that purpose or those purposes, Shall be adequate, relevant and not excessive in relation to those purpose(s) Shall be accurate and, where necessary, kept up to date, Shall not be kept for longer than is necessary Shall be processed in accordance with the prescribed rights of data subjects, Shall be kept secure by the Data Controller who takes appropriate technical and other measures to prevent unauthorised or unlawful processing or accidental loss or destruction of, or damage to, personal information,  

The Information Collected

When you register with community.gc.org.au for services on this site Gateway will collect general personal information about you, such as your name, address, contact details so Gateway and/or Gateway Church can contact you.

Gateway may also collect this and other types of personal information:
when you register for conferences or events;
when you participate in Gateway Church activities or complete other forms;
about your usage of the website;
information about you from e-mails or letters you send to Gateway or Gateway Church.  

Gateway and/or Gateway Church may already hold personal information. Sensitive Personal Information: Gateway and Gateway Church will only collect, use and store sensitive personal information, such as health conditions, religious beliefs, with your explicit consent or as authorized by law.

Why We Collect and How We Use Your Information:

Gateway and/or Gateway Church will use the personal information collected for the purpose disclosed at the time of collection, or otherwise as set out in this Policy. Neither will use your personal information for any other purpose, without first seeking your consent, unless authorised or required by law.

Generally Gateway and/or Gateway Church will only use and disclose your personal information as follows: to establish and maintain your involvement with a Gateway Church, including providing you with regular correspondence; to provide the products or services you have requested from Gateway and/or a Gateway Church; to answer your inquiry by post, telephone, mobile phone, fax as well as email; to register you for events, conferences; to assist making Gateway Church sites, services and products more valuable to the Gateway Church community; for direct promotion of products or services and to keep you informed of new developments, which may be of interest to you. If contacted in this way, without obtaining your prior consent, you will have the opportunity to decline any further promotional communications; to different parts of Gateway Church to enable the development and promotion of other products and services and to improve the general ability to assist Church attendees and the wider community; to assist Gateway and Gateway Church and their Senior Management prepare confidential reports and in management of issues relating to Gateway and Gateway Church; and to enable the Senior Pastors of Gateway, on occasion, to personally and directly communicate with you.  

Data Storage and Disclosure:

Third party Data Processors, on servers, based in the United States and/or the EU, will store the information provided. Such third parties have entered into written contracts with Elvanto requiring compliance with the Principles of Data Protection, as detailed in the EU Data Protection Directive 95/46/EC and the Privacy & Electronic Communications Regulations (PERC). Subject to compliance with Gateway and Gateway Church data management policies and procedures and in compliance with the above Data Protection Principles the information may be accessed, used and stored: On Gateway Church computers based in the UK and the EU; and On computers controlled by a limited number of Gateway staff based in Australia who are involved in development, maintenance and operation of community.gc.org.au or who act for Gateway for the uses set out in this policy, or for other purposes approved by you. Those parties may also process information, fulfill and deliver orders, process credit card payments and provide support services on behalf of Gateway and/or Gateway Church.   Neither Gateway nor Gateway Church intend to store or currently store financial details (credit or debit card numbers). Neither Gateway nor Gateway Church store details online nor pass any information to third parties, except where legally required to do so, to assist fraud reduction and minimise credit risks. It is never sold, given away, or shared with anyone, unless required to by law. Access To Your Information: Correction & Deletion You can request access to the personal information that Gateway and/or Gateway Church hold about you, by contacting the Data Protection Officers as set out below. You will be provided with access to your personal information unless Gateway and/or the Gateway Church are legally authorised to refuse your request. You may be charged a reasonable amount for such access. If you wish to change personal information that is out of date or inaccurate at any time please contact Gateway. After notice from you, Gateway will take reasonable steps to correct any of your information, which is inaccurate, incomplete or out of date.   If you wish to have your personal information deleted please contact the Data Protection Officer at Gateway or the Gateway Church you attend (or previously attended if you no longer attend a Gateway Church) and wherever practicable that information will be deleted. Gateway and the Gateway Church may refuse your request to access, amend or delete your personal information in certain circumstances. If your request is refused, you will be provided with a reason for the decision and, in the case of amendment, will note with your personal information that you have disputed its accuracy. Security: Gateway and Gateway Church will take reasonable steps to keep secure any personal information held and to keep this information accurate and up to date. Personal information is stored in a secure server or secure files. The Internet is not a secure method of transmitting information. Accordingly, neither Gateway nor Gateway Church can accept responsibility for the security of information you send to or receive over the Internet or for any unauthorised access or use of that information. Gateway and Gateway Church take security measures to protect your information from access by unauthorised persons and against unlawful processing, accidental loss, destruction and damage. Your information will be held for a reasonable period or as long as the law requires. Changes To This Privacy/Data Protection Policy: Gateway may amend this Policy from time to time to reflect changes in best practice, security and control and to ensure compliance with any changes or amendments to the Privacy & Electronic Communications Regulations.or other applicable legislation in AUS, UK and/or the EU. Any amended version will be available on the website community.gc.org.au/pages/privacy. It is suggested that you visit the website regularly to keep up to date with any changes.
